    Personal Information

    The specific information collected depends on the type of user (e.g., student or parent registered for the service, website or blog visitors, instant messaging service users). School Success collects only the information necessary for using the services.

    Identification of the Responsible Party

    Creating a student file requires the identification of an adult responsible for the student's file. The following information is collected about the user responsible for the student's file:

  • First and last name
  • Street address
  • Phone number
  • Email address
  • Username and identification number (assigned by the system)
  • Temporary password (assigned by the system)
  • Identification of the student

    Creating a student file requires identifying the student by collecting the following information:

  • First and last name
  • Gender
  • Date of birth
  • Email address (optional)
  • School attended
  • Username and identification number (assigned by the system)
  • Temporary password (assigned by the system)
  • Cookies

    Cookies are small data files commonly stored on your device when you visit websites and use online services. They are generally used to make websites work or improve their functionality, as well as to provide information and assist with personalization. Other technologies similar to cookies (such as "local storage technologies") may also store small amounts of data on your device.

    School Success collects data about users and their behavior on its platforms for analysis, optimization, and improvement of its services. This data includes information about the operating system and type of device used, internet service provider, duration of user sessions, and interactions with different components of the School Success platforms. None of this information allows for user identification.

    School Success reserves the right to use cookies for the optimization and improvement of its services and promotional activities. Cookies may come from sources outside of School Success, such as Google, Facebook, or YouTube.

    Use of Phone and Text Services

    Users who contact School Success by phone or text message may transmit their phone number, depending on their agreement with their service provider. School Success reserves the right, for quality of service purposes only, to contact the user whose phone number has been obtained. No other use will be made of the transmitted phone numbers, and School Success ensures the confidentiality of such phone numbers.

    Additional Information Collection

    School Success reserves the right, in the course of its activities, to request additional information from its users. This information is used solely for the purpose of optimizing, improving, or promoting its services and is not disclosed to the public or any third parties, unless otherwise expressly indicated to the user or the responsible adult in charge. This may include, but is not limited to:

  • The source of information through which the user became aware of School Success's services.
  • The primary language spoken at home.
  • Possession of a code provided to the user as part of a promotional activity by School Success.
  • Purpose of Information Collection

    School Success collects and uses only the information necessary to fulfill its obligations, provide and improve its services, and comply with its mission. Specifically, information is collected for the following purposes:

  • Ensure compliance with the Terms of Use by each user.
  • Personalize each user's experience.
  • Optimize and improve services by analyzing their effectiveness and identifying needs.
  • Provide additional assistance to the user when the full execution of it requires processing time.

    School Success ensures that its employees, tutors, and third parties with whom it does business protect the confidentiality of personal information to which they have access, regardless of the medium on which it is accessible.

    School Success does not transmit or sell any user data that it collects itself to the public or any third parties. We will not use or disclose them for purposes other than those mentioned without your consent. School Success will disclose information to authorities when required by law, especially to prevent an act of violence when there is reasonable belief of imminent danger to life or serious bodily harm to a person or a group of identifiable persons, or in situations that endanger the life, health, or safety of the person concerned.

    Retention Period and Security Measures

    Except as authorized or required by applicable laws, School Success retains user data for a period of two years following the date of last activity on our platforms. This retention period is necessary to fulfill the purposes for which personal information was collected, including compliance with legal, accounting, or notification requirements to appropriate government agencies.

    When the intended use is complete, personal information is destroyed, deleted, or anonymized, unless the law requires us to retain it. Anonymized information no longer allows for user identification.

    School Success implements strict security mechanisms to protect personal information against loss or theft and against unauthorized access, disclosure, copying, use, or unauthorized modification.

    Subcontractors with access to personal information that School Success holds or controls will be informed of this policy and other applicable policies and processes to ensure the security and protection of personal information. All subcontractors must agree to comply with policies, processes, and laws before starting their mandate for School Success.

    Account Closure

    A user can close their School Success account at any time by making a request to info@successcolaire.ca. The user understands that the School Success account is necessary for using certain services or all the features of certain services, such as messaging or transactions related to their account, and that some services or features will become inaccessible if they close their account.

    Access, Correction, or Withdrawal of Consent

    A user can access the information we hold about them at any time. If errors are found, a request can be made by the user to correct them.

    The user can also withdraw their consent for the use and disclosure of their personal information or file a complaint regarding the protection of their personal information.

    Regulatory Compliance in Quebec Territory

    The rights of users in Quebec are governed by the Private Sector Privacy Act. Individual files can be accessed and modified using their user ID and password, or by submitting a written request to info@successcolaire.ca.

    School Success's offices are located at 6744 Hutchison Street, Montreal, Quebec H3N 1Y4. Data is stored on Amazon servers in the United States, and School Success complies with Article 17 of the Private Sector Privacy Act regarding the use of personal information.

    Security Policy

    School Success uses industry-standard methods to protect the privacy, security, and integrity of customer data (including student personal information) against any unauthorized use, viewing, disclosure, alteration, or loss, as well as illegal or accidental destruction. We ensure that this protected data is encrypted both at rest and in transit, and it is retained or deleted only in accordance with this Policy.

    School Success does not informally share with its employees the data covered by this policy. Only employees who need protected data to perform their duties may access it. In these cases, the principle of the least privilege applies, meaning that each program or employee is granted the narrowest possible access required to perform their tasks. Employees with access to protected data receive training on their responsibilities when handling such data and on various laws and agreements related to data security. These employees are also provided with a unique user ID for accountability purposes.

    School Success periodically conducts risk and vulnerability assessments, as well as compliance checks related to data privacy and security. School Success must promptly rectify any security vulnerabilities identified. We have also adopted a written incident response plan and best practices for responding to personal information breaches. We can provide this incident response plan to anyone who requests it.

    School Success is committed to maintaining the security of our systems and services through regular updates. We make continuous improvements and apply patches (also called "patches") to ensure efficiency, optimal performance, and security of our systems. These updates may include changes to enhance security, fix bugs, or improve functionality. School Success reserves the right to make these updates without notice, while ensuring that they do not interfere with the user experience and always respecting this Privacy Policy.

    School Success maintains an accurate event logging or "log" that records user actions within the system for security reasons. This practice allows us to identify, understand, and respond appropriately to any unusual or suspicious behavior and any potential security breaches. Event logging may include information such as the date and time of actions, details of the action performed, and the user's ID.     While School Success is committed to implementing best practices for information and data security, it is impossible to guarantee complete security because virus and hacking technologies are constantly evolving, and there are other risk factors, such as unpredictable hardware or software failures. Therefore, School Success cannot be held responsible for data losses or alterations. School Success will notify users of a security breach affecting them by email within three days of discovering the situation.

    For Parents' Attention

    School Success's platforms are generally intended for school-aged audiences. We encourage you to be vigilant about your child's use of School Success's platforms or any other media, especially regarding the transmission of personal information. School Success assumes that if your child is a minor under the law, they have obtained your prior authorization to use School Success's platforms.

    Third Parties

    Links to Third-Party Sites

    On its website, School Success occasionally offers the option to visit external sites. School Success ensures, to the extent possible, the quality and educational relevance of these sites but disclaims any responsibility for the content displayed on them, the application of their terms of use or privacy policies, or the absence of such terms or policies.

    Tutors may provide links to third-party services to their assigned students. Common examples of these links may lead to videos hosted by YouTube or Vimeo, or to Wikipedia and other reference sources. It is the responsibility of the tutor to ensure that this content is appropriate and that the links do not lead to sites that threaten the privacy of their students. School Success does not actively monitor content posted by tutors and assumes no responsibility for it.

    Integration of Third-Party Software

    Third-party software may be integrated into School Success (e.g., Google Classroom, LessonSpace). School Success is not responsible for the content, policies, or actions of these websites, which are entirely independent of School Success and not covered by this Policy.

    Third-Party Service Providers

    School Success may use trusted third-party service providers to help us provide, maintain, and improve our services. To this end, School Success may share information with these providers, but only to the extent necessary for the provision of our services and in accordance with our requirements, this Policy, and all other applicable agreements, laws, or privacy requirements.

    Change and Access to Personal Information

    Users can access their personal information through their user account on the School Success portal or by contacting School Success administration.

    Users can also request a copy of their personal information or correct any incorrect information by writing to info@successcolaire.ca.

    A representative from School Success will then contact the user to verify their identity.

    Change of control

    If all or part of School Success or its assets were to be acquired by or merged with a third party, the personal information we have collected from users would be part of the assets transferred to or acquired by that third party. This Policy will continue to apply to your information, and the acquirer would be obligated to treat them in accordance with this Policy, unless you have consented to a new policy being applied. We will inform you of such an acquisition within thirty (30) days of the transaction's closing, either by announcing it on the homepage of our portal or by sending you an email to the address you provided us. If you object to your personal information being used by a company succeeding School Success, you may request that they be deleted.

    In the unlikely event that School Success files for bankruptcy, all user information will be securely deleted within 12 months of the bankruptcy.

    We may disclose personal information if we believe, in good faith, that it is necessary to comply with the law, including a subpoena or other legal process. We may also need to disclose personal information if we believe, in good faith, that it is necessary to do so to protect the rights, property, or safety of School Success, our employees, our community, or any other person, or to prevent violations of our terms of use or any other agreement. These communications may include exchanging information with other companies and organizations for fraud protection or to respond to government requests.

    Changes and Updates to the Privacy Policy

    This Policy is effective as of August 1, 2023, and this is version 2. School Success may, at its sole discretion, update or modify this Policy. If we modify this Policy or the associated terms of use, we will directly email you a copy of the amended documents before these modifications take effect. The updated privacy policy and terms of use will also be published on our corporate website.

    School Success requests users to review the current version of the privacy policy or terms of use. If a user does not accept the new version of the privacy policy, they may cancel their subscription in accordance with the terms of use. Continued use of the services provided by School Success after the new privacy policy comes into effect constitutes acceptance of it.

    Consent to Data Collection and Processing

    By accepting the terms of use, users explicitly declare that they voluntarily allow School Success to collect, process, and use the personal information indicated in this Policy, as specified therein. Users also declare awareness of the reasons why School Success collects, processes, and uses this information, how this information is collected, how user privacy is protected, and the option users have to withdraw their consent.
